August 20, 2011 is the 20th-ever Olalla Bluegrass (and beyond) Festival – one of the best music events in the Northwest.
But it’s more than a music event – it’s a grassroots commitment to serving our little Olalla community. It’s the primary fundraiser for our Community Club which maintains our Community Hall and supports many other local organizations – the PTA, South Kitsap Southern Little League, food bank, scout troops, high school bands and more.


The festival is organized entirely by community volunteers. Many hands and spirits come together in a joyous labor of love. You, too, can be part of the fun and Kick the City off Your Shoes!

Here’s what we need this year:

Committee / ‘staff’ positions

  • Festival Co-chair (filled for 2011)
  • Secretary (filled)
  • Treasurer (filled)
  • Kids’ Activities Coordinator (filled)
  • Sponsorship ‘treasure hunters’ (filled)
  • Printed Program Coordinator (filled)
  • Volunteer Coordinator (needed)

Before-the-festival tasks:

  • Solicit prizes and pie donations for pie booth
  • Signs -- paint & update promotional signs, site signage (2 months out)
  • Install promotional signs throughout community (1 month before Festival)
  • Distribute posters throughout the northwest
  • Post flyers around the community (3-4 weeks before the Festival)
  • Sell ads for the printed program  (3 months out to cut off date)
  • Writers and page layout helpers for the printed program
  • Set up tents, chairs, tables at Festival site (Set-up the day before Festival and clear the site the day after)
  • Mark vendor booth spaces (day before Festival)
  • Stage crew (set-up stage Thursday/Friday; tear down day after)

Festival Day:

  • Install directional signs around the community (morning of Festival / day after) hanging them, taking them down and putting them away (day after)
  • Sound crew (unload & set up sound equipment; break down/reload immediately after festival)
  • Balloon arch creators
  • Ticket sales at the gate (2-4 hour shifts)
  • Festival memorabilia sales (t-shirts, hats, etc.) (2-4 hour shifts)
  • Pie sellers, servers and judges
  • Stage decorations (flowers, quilts, etc)
  • Recycling and trash management
  • Set up power supply and break down
  • Set up water stations and break down
  • Video crew and photographers
  • Food servers (for Green Room / band hospitality)
  • Security guards and gate-keepers

Other important positions

  • Berry Pie Coordinator (create & distribute pie contest flyers; obtain prizes for winners; sign-in pies at Festival, supervise judging, auction and by-the-slice sales)
  • Graphic designer / production manager for poster, t-shirts & festival program
  • Music director and MC
  • Publicity / press releases / media relations
  • Vendor and crafts demonstration coordinators (manages food & craft vendors)
  • Printed program coordinator (helps with writing, pagination, proofing, print management)
  • Auctioneer (for pie auction – day of festival)
  • Ad sales coordinator (for printed program)
  • Community Outreach Coordinator Video producer / editor
  • Sign and Poster Distribution Coordinator
